What is a Daily Planner?

Before we immerse ourselves in the substance, let’s establish the anatomy. In essence, a daily planner is a tool that helps you organise tasks, appointments, and goals on a day-to-day basis. It has sections for each day of the week where you can write down your daily tasks. Most planners also break down the days into hours, which is helpful if you like to schedule your time. Like most planners, this tool helps you keep track of everything you need to do throughout the week, month, year and so on.

In a world inundated with digital tools, there’s something inherently satisfying about the simplicity of a physical planner. While countless apps promise organisation, the act of physically writing things down offers a sense of control and accomplishment that’s hard to replicate digitally.

Crossing off tasks with a pencil or pen provides a tangible sense of progress. Plus, a paper planner is always reliable with no batteries to die or apps to crash. Moreover, opting for a physical planner encourages less screen time, aligning with the growing digital detox trend and promoting better mental well-being.

Then, of course, there’s the game changer: no distractions. I can attest that our mobile phones are the most distracting objects. As a result, taking the time to fill out your digital planner may be easier said than done. You may end up navigating through the millions of apps on your phone. Contrarily, with simple things like a ribbon bookmark, flipping open your physical daily planner to the desired section is a breeze.

There’s Science Backing This Up Too!

As a freelancer and part-time university student, I am a big fan of writing tasks down on paper, because it works. But don’t take my word for it. There is research that proves putting pen to paper boosts connectivity between different areas of the brain for better memory and learning. So using a keyboard to fill in a daily planner, whether that be on your phone or a computer, may not be helpful. After all, what’s the point of writing a plan if you won’t even remember it? Congratulations because you’ve just wasted your time pal! You score one point for procrastinating.

So, while digital solutions have their place, there’s a timeless appeal to the straightforward functionality and practical benefits of a physical planner. With this out of the way, note that the rest of this article will focus on physical planners.

How Can Daily Planners Decrease Procrastination?

You are now aware of the great evil called procrastination. But just in case the connectivity between a planner and fighting this great evil is not clear, read on! Here are a few ways using a planner decreases procrastination.

1. Limit Distractions

Since I’ve already exhausted this note on distractions while on the benefits of a physical planner versus a digital one, it’s first on this list. But there’s more. By scheduling tasks for specific times, you set up a focused work environment that helps prevent procrastination. Let’s face it. When you’re uncertain about what to do next, the procrastination monster sneaks in, whispering about the many unproductive things you can do. However, with a clear list of tasks, you skip this indecision and dive right into your work.

Furthermore, with a planner, you can also schedule “distraction-free” times, dedicating specific slots to work on tasks without interruptions. This might mean getting rid of your phone or choosing a quiet workspace. Both these points further support that the physical planner is best.

2. Gets You to Start

The essence of a daily planner is planning. What better place to start than simply making a list of all the things you need to get done? Take time to understand what is required to complete a task or project. Instead of worrying about the big project, just think about the pen or table you’ll use to begin.

Break projects and even tasks into smaller steps and spread these smaller tasks out over a period keeping in mind deadlines. You are more willing to complete a task if you know the first steps to doing so.

3. Set Specific Goals

Use your planner to set SMART (Specific, Measurable, Achievable, Relevant, Time-bound) goals. By so doing, you reduce the vagueness that often leads to procrastination. Write these goals in your planner and review them daily to keep your focus sharp and your motivation high. A downside is not all planners stress the importance of SMART goals, and hence you fall victim to ‘lousy’ planning that is basically useless.

4. Time Management Techniques

Incorporate techniques like Eisenhower’s Matrix (or the prioritisation matrix) for prioritising important tasks. Then we do a rushed job to meet the deadline, or worse, it doesn’t get done at all!

  2. Also having enough space is crucial for the effectiveness of your planner. Remember that a planner is handy because it’s where you can keep everything you need to remember in one place.
  3. Planners should not only be tools for organising tasks but also sources of inspiration and motivation. Incorporating elements like daily affirmations, time management tips, and motivational pieces enriches the planning experience, empowering individuals to conquer their goals with enthusiasm and purpose.
  4. Monthly or weekly goals sections can be important. These sections are a great place to break down big goals into smaller parts that are more manageable so you’re less likely to procrastinate.
  5. Ever had that spark of inspiration or simply something you cannot forget? Well, a good planner would have several note pages for brain dump rather than relying on your memory.

How Do You Use a Planner for ADHD?

According to VeryWellMind, daily planners can be particularly helpful for people who have attention deficit hyperactivity disorder (ADHD). ADHD often shows up with problems in organising, managing time, and remembering things you need to do.

Tips for Using a Daily Planner With ADHD:

  1. Start gradually then build up to using the planner daily. Checking your planner and writing in it regularly can help you build stronger organisational habits.
  2. Break complex projects into smaller steps and work on them a little bit each day so you can stay on track and complete them in a timely fashion.
  3. Get rid of distractions before you begin your planning.
  4. Allow some time between your self-scheduled appointments. This is especially crucial for individuals with ADHD, as it gives them a chance to switch gears and prepare for the next task without feeling overwhelmed.
  5. Practice carrying your planner with you at all times.
